Privacy Policy

This Privacy Policy (“Policy”)  describes our procedures on the collection, use, and disclosure of personal information we collect through Bridge to Campus. It also outlines your rights regarding your information and how we handle and protect those that we receive from students, particularly high school students participating in our services such as our 1-on-1 mentorship program, webinars and essay review services.

 

We use personal information solely to provide and improve our educational services. By engaging with our services, you agree to the collection and use of information in accordance with this Privacy Policy.

Our Principles

Bridge to Campus has designed this Privacy Policy to be consistent with the following principles:

• We only collect personal information necessary to deliver mentorship and educational support services. 

• We take all reasonable steps to store and process all the personal information safely,  ensuring that access to this information is strictly controlled to authorized individuals (operational team members AND VP Internals of each branch) only.

• We are committed to informing participants on how their information is used. When being questioned about, we will address concerns promptly and respectfully.

• We recognize our responsibility in working with students under 18. We will prioritize safeguarding their privacy, safety, and well-being in every aspect of our services.

Interpretation and Definitions 

Interpretation

The words with the initial letter capitalized have the meanings defined below. These definitions apply regardless of whether they appear in singular or plural form.

Definitions 

For the purposes of this Privacy Policy:

• “Student” refers to high school students participating in any Bridge to Campus’ services, including but not limited to our 1-on-1 mentorship program, webinars and essay review services.

• “Mentor” refers to trained university students.

• “Organization” (referred to as “Bridge to Campus”, “We”, “Us”, or “Our” in this Policy) refers to Bridge to Campus and its authorized team members.

Information We Collect

When students engage with Bridge to Campus services, signing up through the Google Forms we provide, we may collect the following:

• Full name, school name and grade level

• Contact information (e.g. email, instagram handle, phone number (optional))

• Academic interests and university goals

• Feedback on program experience

 

All information collected is used solely for program delivery as well as improving our services.

Use of Personal Information

We use personal information to:

• Pair mentees with suitable mentors

• Enable secure and professional communication

• Incorporate student feedback to improve and enhance our services

Our Services

• 1-on-1 Mentorship Program

  • Free personalized guidance for every high school student going through the journey of applying to university.

  • Pairing are done based on university/program of interest, career goals, and extracurriculars.

  • Mentorship sessions are conducted via secure virtual platforms (e.g. Zoom, Google Meet), with the mutual agreement of both parties (mentor and mentee)

  • In the first session, mentor and mentee will collaborate together to create their session timeline.

  • Progress is tracked using google forms that both the mentor and the mentee are required to fill out, the Mentor Volunteer Hours Tracker or the Mentee Post-Session Tracker respectively.

• Webinars

  • Free, interactive sessions led by our executive team and experienced mentors

  • Topics include but are not limited to: How to apply to Canadian universities, How to prepare for interviews and LinkedIn workshops, and How to prepare for university.

  • Participation is voluntary and open to all high school students in Canada.

  • Webinars are designed to be informative, inclusive and student-centered.

  • Recordings are for internal use and students’ name and picture will NOT be presented unless permission is given to our organization to collect the information mentioned above.

• Essay Review Services

  • Personalized feedback on university admissions and scholarship essays

    • Disclaimer: Students do not have to incorporate the feedback given by our mentors. Feedbacks are given as suggestions for improvement.

  • Reviews are conducted by mentors that underwent training by the Director of Internal Affairs.

  • Services are offered via Google Docs, following the Mentee Essay Review Submission Form and Essay Review Guidelines Document.

Mentor Code of Conduct and Responsibilities

• All mentors receive training on professionalism and are expected to maintain appropriate boundaries and uphold the values of the organization

• All mentors receive resources, mentor handbook, to guide their sessions

• All mentors sign a joint mentor-mentee contract to uphold their responsibilities in maintaining a respectful relationship

 

Bridge to Campus maintains a zero-tolerance policy for breaches of privacy or misconduct. If mentors were to breach the contract, it will result in the following:

• Immediate removal of the involved individuals from the organization

• Incidents are reviewed seriously and promptly to protect each and every student in our organization

Reporting Concerns and Taking Actions

Bridge to Campus is committed to creating a safe and supportive environment for all high school students. If anyone ever feel uncomfortable or experience any form of mistreatment during a mentorship session or event, here are some actions that you can take:

1. Anonymous Report Form

   1. Submit feedback anonymously using our form. This allows students to share their concerns or experiences without revealing their identity, especially if they are unsure about escalating the situation. Our executive team monitors this form regularly to ensure that matters are brought to attention and addressed promptly. 

2. Contacting Our Team

   1. If you feel comfortable, you can reach out directly to the VP Communications of that specific university’s Bridge to Campus chapter. They are trained to receive and manage concerns respectfully. If needed, the issue will be brought up to the operations team where they will work with all involved parties to address and resolve the concern. All reports will be taken seriously, and appropriate steps will be taken to investigate and resolve the issue while protecting the student’s privacy.

School Partnerships

In cases where we collaborate directly with schools, we will:

• Sign agreements on protecting student privacy as needed

• Maintain an open line of communication with staff and administrators

Student and Guardian Rights

• Request access to or deletion of their own personal information

• Opt out of non-essential information collection

• Report concerns related to privacy or mentor behavior
